Hobsons Project Manager

Project Position

Position Summary

The Hobsons Project Manager (Project Manager – CRM System) is responsible for the full implementation and maintenance of the Hobsons EMT Connect software system in relation to specifications set by Hobsons and the UW Colleges. This position is also responsible for developing and implementing a robust training and user support program designed to meet the needs of all 13campuses and the online program. This position will provide campuses technical support in the design, development, testing and implementation of HobsonsEMT Connect. This position reports to the Associate Vice Chancellor for Student Services and Enrollment Managementand is a minimum 2 year project position.

Major Duties/Responsibilities:

A. Provide for the leadership and management of the Hobsons EMT Connect implementation project.

  • Lead the UW Colleges’Institutional Hobsons Core Team in the design, development and implementation of a comprehensive CRM framework for use at all 13 campuses and the online program.

  • Provide leadership to Campus Leads and Campus Teams in their implementation and individualization of the CRM framework.

  • Work with Information Technology to ensure that all related technology, security settings, logins and user rights and related documentation are implemented.

  • Serve as the point person and official representative to Hobsons EMT Connect.

  • Lead, manage, and facilitate the interconnected UW Colleges Hobsons’ project teams.

  • Revisethe existing timeline for implementation of the Hobsons software, training, and campus go-live.

  • Communicate with and provide regular updates to the Associate Vice Chancellorregarding project deadlines, activities, issues and changes. 

  • Coordinate and oversee a communication process for the Hobsons’ project. Create status reports, fact sheets, organizational plans and other information regarding progress, status and upgrades of the system. Compose correspondence, reports, presentations and other materials.Partner with Campus Leads to schedule and facilitate small and large group meetings/trainings.

B. FacilitateCRM activities at the campus level.

  • Ensure compliance to project governance, such as scope, change, control, and assist with evaluating and resolving project issues in the areas of operating policies, staffing and scope. Ensure objectives are being met in line with schedule, budget and acceptable quality and institutional satisfaction.

  • Coordinate and facilitate the development and completion of go-live task lists, timelines and activities.

  • Identify, quantify and monitor risks, decisions, issues and problems associated with the project.

  • Work with campus staff to develop and execute strategies for ensuring ongoing long-term campus participation and success with Hobsons EMT Connect software.

  • Participate in institutional, campus meetings, and conferences regarding Hobsons and CRM and enrollment management.

  • Collaborate with campus student services staff for increasing office efficiencies and ROI via Hobsons.

C. Conduct and facilitate a robust Hobsons training program.

  • Develop expectations, goals, and assessment methods for the training program.

  • Serve as the institutional project trainer and conduct trainings as needed.

  • Coordinate all training development activities including the train-the-trainer program and training materials.

  • Regularly visit campuses requiring additional training, training for new staff, and new campus specific initiatives.

  • Monitor progress and evaluate success in achieving established goals.

  • Develop and share best practices among all campuses and the online program.

Qualifications: A bachelor’s degree is required. Highly qualified candidates will demonstrate knowledge, experience, and abilities in many of the followingareas:

  • Three years of recent, related experience inhigher education, preferably in Student Services;

  • Considerable knowledge of the latest developments in computer-based systems, CRM and ERPsystems;

  • Experience managing and executing projects of similar size and complexity;

  • Knowledge of collegiate recruitment, admissions, and registration practices.

  • Ability to facilitate and effectively lead teams with the goal of consensus building;

  • Strong organizational skills and the ability to adjust to a dynamic work environment;

  • Proven ability to develop policies and procedures and implement programs;

  • Experience working collaboratively with various partners and constituent groups;

  • Ability to prioritize assignments and meet deadlines;

  • Excellent interpersonal, written and verbal communication skills (including public speaking);

  • Excellent organizational and critical-thinking skills;

  • Skilled in the use of office-related computer applications, including word processing, database, spreadsheet, presentation software and other management tools.

  • Project Management Institute certification preferred.

Conditions of Appointment: This is a full-time (100%) Limited Term positionfor a minimum of 2 years. Salary will be assigned within the range, commensurate with the candidate’s qualifications and experience. An excellent benefits package is also included. Anticipated start date is January 9, 2012.
