Student Financial Aid Office

 

The Information Manager provides technical support to the University of Wisconsin Colleges Student Financial Aid Office located in Madison.  Responsibilities include:

  • maintaining the financial aid module of the institution’s student information system (PeopleSoft Campus Solutions)

  • maximizing the use of existing software tools and developing customized programs to meet federal, state, and institutional financial aid requirements

  • performing the annual software set-up

  • writing reports and queries

  • managing batch processes

  • supervising support staff

  • testing and troubleshooting software bundles and updates

The Information Manager reports to the Associate Director of Student Financial Aid and supervises one support staff (University Services Program Associate B).  This position works closely with the Director and Associate Director to identify opportunities for increased workflow efficiency and to ensure compliance with financial aid regulations and guidelines.

 

Qualifications

Minimum Qualifications

  • Bachelor’s Degree in Information Technology or a Bachelor’s Degree in another field with considerable database experience

  • proven SQL, PL/SQL knowledge and skills

  • computer competency in word-processing, email, and spreadsheets and the ability to easily learn new computer applications

  • strong analytical skills

  • good communication skills

  • good organizational skills

  • ability to work well with others and also independently

Desired Experience

Preference may be given to applicants who have experience with the PeopleSoft Campus Solutions product and to applicants who have worked in higher education/student services.  Experience with PeopleTools, Application Engine, Component Interface, Equation Engine, and Java is preferred. Ability to acquire an understanding of often complex regulations and institutional requirements and to apply this knowledge to software management is strongly desired.

 

Position Duties

 

  • Maintain the financial aid component of the institution’s student information system. 50%

    • Create, update, and maintain modifications to the PeopleSoft Financial Aid module to comply with changes in federal, state, and institutional policies.

    • Work with Financial Aid staff to identify PeopleSoft issues and workarounds, potential improvements, and procedures to ensure data integrity, compliance, and consistency.

    • Test regulatory releases, enhancements, and software changes.

    • Create test data and testing plans and document procedures.

    • Recommend and develop workarounds or modifications to software and/or hardware systems as necessary.

    • Assist in the development of specifications for interfacing PeopleSoft with other systems, such as document imaging.

    • Maintain current knowledge of US Department of Education software and reporting layouts, including Direct Loan and Pell Grant Programs, as well as reporting mechanisms for other aid agencies, including the Wisconsin Higher Educational Aids Board.

    • Prepare the annual processing routine and table set-up for each new financial aid cycle.

    • Serve as liaison to the institutional Information Technology Office and with various UW Colleges administrative offices, including the Office of the Registrar and Central Business Office, as to student information system maintenance and interfacing.

    • Represent the Student Financial Aid Office on IT PeopleSoft projects, including software upgrades.

    • Serve on committees related to financial aid regulations, institutional goals, and Student Services initiatives.

     

  • Develop and write programs, reports, and queries. 20%

    • Create programs to extract, modify, and load data from and into PeopleSoft.

    • Assist in designing standard and ad hoc reports requested by Student Financial Aid Office staff and campus staff.

    • Write and run routines to collect information for standard financial aid surveys and annual reports.

    • Review existing quality assurance reports and develop new reports as aid programs and/or procedures change.

     

  • Provide supervision to the support staff. 15%

    • Provide mentoring and training to the program associate who is responsible for electronic file transmissions.

    • Complete the annual performance review.

    • Perform quality control checks.

    • Oversee the work schedule, work load, and sign time sheets.

    • Enforce applicable rules and regulations and take disciplinary action if warranted. 

  • Manage batch processes. 10%

    • Develop a schedule and monitor the routines for overnight financial aid processing jobs, as well as, routines for processes that are run at particular intervals during the year.

    • Coordinate nightly job routine with other administrative offices of the institution.

  • Perform other duties as assigned. 5%  

    • Attend training sessions and professional development opportunities.

    • Serve on institutional committees and work groups.

    • Perform special projects as requested.
