Human Resources Office Manager – Limited Term Employment
Position Summary
This position provides general office management assistance in the UW Colleges Office of Human Resources, a centralized human resources office for the thirteen UW Colleges campuses. Under the general direction of the Director of Human Resources, this position is responsible for a variety of activities that support the human resources, payroll, and benefits function.
The hours for this position are flexible, approximately 16 to 30 hours per week, limited to 1043 hours in a 12 month period. Ideal times would be half days Monday through Friday. This position requires strong organization, interpersonal skills, accuracy and professionalism, Microsoft Office skills, excellent time management and project management skills and flexibility and ability to multi-task in a face-paced office environment. Experience with PeopleSoft HRS system is preferred.
Office Management Duties
General office filing and organizing
Assist Director of Human Resources and other staff with additional projects as needed
Provide information and assistance to HR Office visitors and to general requests
Answer incoming phone calls and transfer to appropriate parties
Distribute incoming mail
Maintain personnel, benefits and payroll files and records
Coordinate special projects
Assist in Maintaining HR Director’s calendar
Request and distribute retirement certificates
Enter monthly leave accounting into HRS System
Conduct Criminal Background Checks and communicate results to requestor
Assist with data entry and queries in the PeopleSoft HRS system.
Assist in monitoring the general HR email inbox and logging issues into Sharepoint Issues Tracking
Database. Refer issues to the appropriate staff member and monitor the status of issues
Assist HR Director and HR staff members with special projects as needed
Coordinate meetings and training sessions
Develop and maintain databases as needed
Recruitment, Staffing, and Administration of Classified Positions
Assist in entering applications and job announcements into WiscJobs and closing certifications
Communicate with applicants and send out necessary forms and questionnaires
Maintain Employee Files
Recruitment, Staffing and Administration of Unclassified positions
Assist in distributing employee contracts
Assist in managing recruitments – receive and acknowledge applications, uploadapplications to
HRSTalent Acquisition Manager, maintain recruitment files
Maintain Employee Files
Assist in Processing Payroll and Leave Accounting
Assist in processing Unemployment Insurance and Workers Compensation claims
Maintain payroll output files
Assist with Benefits Administration
Maintain employee benefit files
Maintain various databases
Correspond with new and terminating employees and distribute appropriate information
Copy, distribute and maintain application forms
Review and audit reports
Assist in documenting Family Medical Leave Act requests
Employment will require a criminal background check.
